How can I publish my products in the Product Finder?

Please note: The presentation of products in the Product Finder is only possible for PSI Supplier Members.


Depending on the number of products and your technical abilities, you can choose from three possibilities:


Online form: A small number of products or little corrections of the data that is already online (https://psiproductfinder.de/backend/products)


Data table: A lot of products, your first import, a large update. Excel knowledge is recommended(https://psiproductfinder.de/backend/import)


API interface: A large number of products that you want to enter and update in an automated way. Experience with programming is necessary (https://api-cf.psiproductfinder.de/v1/docs)


You can combine these options.


For example, you can import the first set of product data with the data table and then make smaller adjustments and amendments online. For the next update, you should pull a data export (https://psiproductfinder.de/backend/export) and use this file - which contains also the information you changed online.


Alternatively, you enter a few products online and pull the data export then. This way you have your products already in the correct data structure in our table and can use this as a template for the further filling of the data table.


All three options ask for the same product data.


In order to fill out the data table or to use the API, you will also need our code list (https://cdn.psiproductfinder.de/psi-download/PSI_Codes.xlsx) for colour groups, material groups, finishing methods, product certificates, countries of production and product groups.

How do the pictures get into the Product Finder?

In the data table: You can enter URLs or picture file names in the corresponding columns of the table.


If you have entered the file names, you need to zip the real image files together with the table and import the entire zip archive. If you have entered URLs you do not need to zip the file. You can just import the Excel as it is.

You can also combine both options. In this case, you only need to zip and upload the pictures of the products where you have entered the file names.

How many products can I display in the Product Finder? What does it cost to show my products?

Is the number of products limited?


The number of products is not limited. You can enter as many as you like. But please remember to create variants if possible.


For example, if a product is available in several colours, the individual colours are variants and not separate products.

The placement of products in the Product Finder is already included in your membership, there are no additional costs on our part.

How can I create an appealing product entry that will be well found in the Product Finder?

The Product Finder is a search engine for promotional products. It is made for PSI Distributors so that they can find products and get in touch with the corresponding PSI Supplier. The Distributor wants to find product entries where he can see all the information he needs at a glance.


This is what you should keep in mind when creating your product entries for the Product Finder.


A good product entry contains as many information as possible. The more information you give, the better your product will be found. – And your potential customer can make an informed decision.


The most important information are:


Product NameThe product title (name) should be descriptive and already contain the most important product attributes. The title is what makes the Distributors click on your product entry.
DescriptionEnter a meaningful description of the product. What is it? What can it do? Do not just put one key word after another and use correct wording and spelling. Use different words for the product, e.g. cube and dice or boat and ship etc. Try to use different descriptions for each product (except when you create variants).
Tags (search words)Use sensible keywords in the product name, the description and in the tags.
PicturesA nice picture draws the interest of your potential customer and makes for more clicks. Make sure that the product and maybe its functions are well visible. The product pictures need to be jpg or png files and in RGB colour mode. We recommend a size of 1400 x 1400 pixels, resolution 72 dpi. Pictures may not contain your website, e-mail address, postal address, telephone number etc. The only exception are company names that are also brand names.
ColoursCombine the free text in “Colour or Colour Combination” with the colour group. The colour group ensures that your product will still be found when the search results are filtered by colour.
MaterialsWith some products, it is important to know what material they are made of. Give your customers this information directly in the Product Finder!
PriceGive your customers an indication of what the product costs.
Product GroupsThe product groups support the product search and can already be accessed from the homepage of the Product Finder.



Create variants: The user, i.e. the Distributor that you want to get interested in your product, does not want to see the same t-shirt 10 times in a row only because it is available in different colours or sizes. When you create variants, the Distributor will find your t-shirt as well and has the possibility to look at the different colours in the product details. When you enter each t-shirt for itself, the search results will appear confusing and less attractive for the user.

Fill the filters in the Prouct Finder: Add colour groups, material groups, certificates, countries of production, finishing methods and product groups to your product entries. These make sure that your products will still be found when the Distributor filters the search results e.g. for colour or clicks on a product category on the Product Finder main page.


Put yourself in your potential customer’s place. What is he searching? How is he searching? Look at your own behaviour when you are searching something online: What is important for you?


Please keep in mind: We optimize the Product Finder and its search according to the needs of the Distributors who are searching for products. We want them to find the best product entries possible. Therefore, we recommend that you create an appealing entry with nice pictures and as many information as possible.


If you wish to highlight your brand or individual products in a more obvious way, the Product Finder offers several advertising possibilities.

What are the requirements for product pictures?

A nice picture draws the interest of your potential customer and makes for more clicks. Make sure that the product and maybe its functions are well visible.


You can show up to 5 pictures per product. Please note that at the moment the Product Finder only shows 4. The possibility to show 5 pictures is still in the development phase.


The product pictures need to be jpg or png files and in RGB colour mode. We recommend a size of 1400 x 1400 pixels, resolution 72 dpi.


Pictures may not contain your website, e-mail address, postal address, telephone number etc. The only exception are company names that are also brand names.


It is also not necessary to show your contact details in the picture. They are shown in the Product Finder as well. It is best to concentrate on showing your product in the best way possible.


Important: When you use the data table, enter the picture file names in the columns “Product Picture_1“, “Product Picture_2“ etc.

The picture file names you enter in the table must be exactly the same as the actual file names. For example “pen_blue.jpg“. Please do not use special characters in the file names.


You can also enter links to your images (URLs) in the table instead of the image files. When using image URLs, please note that the images are stored on a server that can be accessed without password or other security measures. Dropbox links, for example, do not work.


You can also upload mixed images, i.e. you can specify URLs for some products and send the files for the others. In this case please create a zip archive with the table and the images.


If you have saved the picture files in subfolders, the name of the subfolder needs to be indicated before the name of the picture file, separated with a slash (/). For example: product_nr-1/1.jpg. In this case the name of the subfolder is “product_nr-1“ and der file name is ”1.jpg“.


With several images per product: The order in the table or in the online form corresponds to the order in the Product Finder. The first image (product image_1) will be displayed in the search results, the other images only on the product detail page.

If you enter your products via the online form, you can change the order of the images with the small arrows on the right.

How can I use the online form?

If you only want to enter a few products or need to make a small update quickly, you can do this fast and easily using the online form.


Go to www.psiproductfinder.de and log in. Then click on “Account“ in the top right corner and then on “Manage product data”.


Click on ”My products“ in the navigation on the left.


There you can see all products you have online at the moment. You can update them or add new products.


Please note that the default language in the Online Form is English. Therefore, please enter always the English product data first (at least Product Number and Name) and save the entry. Then you can click on the language field in the top right corner and add the German data.


Data like size, colour group, material group etc. will be copied. You just need to translate the free texts. If you want to change anything in the copied data, save the German entry and switch back to English. There you can make the changes, save it again and go back to the German version.


ATTENTION: Please save your entries before switching to the other language version. Your data will not be saved automatically!

How can I use the data table?

You can download an empty data table here: https://cdn.psiproductfinder.de/psi-download/PSI_Datatable.xlsx


If you already have product data online in PSI Product Finder, we recommend that you export them from the database (https://psiproductfinder.de/backend/export), edit it and then import this file again.


Please enter the data of each product in two rows (one below the other). The row with the English data needs to be marked with EN in the column “Language”, the German data with DE.


The codes for colour, material etc. (https://cdn.psiproductfinder.de/psi-download/PSI_Codes.xlsx) are the same in both language versions. The Product Finder will display the corresponding translation. So it is enough to enter codes, image filenames, numbers etc. only in the row for English. The row for the German entry needs only the product number, the language marker ”DE” and the translations in the free text fields (product name, description etc.).


Please put always the English version of the product first into the table and below it the German.

If you want to show your product only in one language version, please enter nonetheless the product number, the product name, DE or EN, picture file name/URL and the codes. The rest of the row can be left empty.

The content of the rows does not have to be identical, i.e. you can leave fields empty in one language that you have filled out in the other.


Important: When you use the data table, enter the picture file names in the columns “Product Picture_1“, “Product Picture_2“ etc.The picture file names you enter in the table must be exactly the same as the actual file names. For example “pen_blue.jpg“. Please do not use special characters in the file names.


Please zip your data table together with the picture files and go to https://psiproductfinder.de/backend/import. You can drag and drop the file or zip folder into the grey box or click on ”browse“. Choose the file from your system and confirm it. Then you can click on “Upload”.


If you have referenced your product pictures as links and therefore will not import the picture files, you do not need to zip the data table. You can upload it alone.


When using image URLs, please note that the images are stored on a server that can be accessed without password or other security measures. Dropbox links, for example, do not work.


You can also upload mixed images, i.e. you can specify URLs for some products and send the files for the others. In this case please create a zip archive with the table and the images.

How does the data import work?

You can import your data file or zip archive here: https://psiproductfinder.de/backend/import


You can either drag and drop the file or zip folder into the grey box or click on ”browse“. Choose the file from your system and confirm it.


Then you can click on “Upload”.


After uploading, your data table will be checked and the system may give warning or error messages. Before the data import can take place, you must confirm it.


You may need to confirm the import a second time, in the box in the middle of the screen.


For example, if you want to import fewer products than you currently have online, the system will ask you to confirm the data import, because all products that are not in the table will be deleted from the system.


Only after your confirmation the data will be processed by the system. For security reasons, you will not be able to start a new data import or process your products via the online form during this time (for at least 10 minutes).


If your data table is faulty, e.g. wrong codes or missing columns, you will have to correct it and then upload it (or the whole zip) again.


Depending on the size of your Zip archive, the data import can be fast or take a little longer.


You know if your data import has been successful if you can see your new or updated products under “My Products” shortly after the import.


If you want to delete products from the Product Finder, just delete the corresponding rows (EN and DE) of the products and import the data table again.


CAUTION! The data import is always a FULL IMPORT! Always import a data table containing all products and information you wish to present in PSI Product Finder! Products that are not contained within the imported table will be deleted automatically and irretrievably.

How can I check my products after the data import?

How can I determine whether the data import worked?


Shortly after the successful data import you can see your new products or the changes under "My products". You can find them in the Product Finder from the next day.

The import of my data table does not work.

There is always only a message that there is an error.


This can have various causes.


Check the table structure: Have you deleted columns? Does your product data start in a row other than row 4? Have you changed the information in row 3? The easiest way is to compare your table with an original table: https://cdn.psiproductfinder.de/psi-download/PSI_Datatable.xlsx


Do all fields have the correct content? The fields in which you can enter numbers may only contain whole numbers and no letters - prices excluded. You may of course use decimal points here. Please convert the affected fields or remove measurement or currency information.

If the data import still does not work afterwards, please send us the table to importe-productfinder@reedexpo.de so we can check it.

Can I also import a table with only one product if I want to add it to the others?

No, please don't!


The data import by table must always contain all products. What is not in the imported table is automatically and irretrievably deleted.

If you only want to add individual products, you can either do this using the online form (https://psiproductfinder.de/backend/products) or you can download a data export (https://psiproductfinder.de/backend/export), add the products in the table and import this table again (https://psiproductfinder.de/backend/import).

What is the easiest way to update my products?

The easiest way to update your products depends on how many products you show online in the Product Finder and how much data you want to update.


If you only have a few products online or if you only need to change one small thing, you can do this fast and easily using our online form: https://psiproductfinder.de/backend/products

No matter whether you use the online form or the data import: Currently, the PSI Product Finder is only updated overnight. Your changes, deletions etc. will therefore only be online the next day.

Which information should I enter into which field?

If possible, the product data (image and text) should not contain any direct reference to you as the supplier company. So you should not include your company name, website, email address, postal address, phone number etc. in the text or image.

The main reason for this is the product lists and advertising pages that can be created with the products from the Product Finder and sent by the PSI Distributor to his customers. If the product listings contain direct references to the supplier of the product, the distributor may refrain from using these listings and prefer another supplier.

Your company details and contact information are displayed by default on the product detail pages in Product Finder.


You can also enter company-specific data for colour, material and finishing in the corresponding free text fields. For example special colours with your own names, colour combinations, material compositions, how many colours are available for the finishing etc. Please note that only the entry of the respective groups (codes in the table, choice in the Online Form) enables the product to be found with the navigation filters. Only completing the free text fields is not enough for this.


Please note that we strongly recommend the entry of the corresponding codes in addition to the free text fields for colours, materials and finishings.


Please note that fields where you put in numbers always expect whole numbers without comma or decimal point (these values are also called ”integer“). The only exception here are the prices. These you can enter with both comma or point.


In the following, you can find a list of all data fields in PSI Product Finder. Under “content” you can find advice on the information you should give in each field.

AMaster Product Number (to group variants)The Master Product Number is for internal use in the database to create variants. It is not shown in PSI Product Finder. In the Online Form, it is generated automatically. In the data table, please enter a number series of your choice. To create variants, the Master Product Number has to be identical, also for the English and German version of a product. Individual products must have different Master Product Numbers. For products already online in the Product Finder, the Master Product Number has been generated automatically. Please note that this field is limited to 255 characters.
BProduct NumberEnter here the unique product number with which you can identify the product. Each product number may only be used once per supplier (PSI Number). Please note that this field is limited to 45 characters.
CLanguage: EN = English, DE = GermanEnter “EN“ in the row with the English product data, and “DE“ in the row with the German data. Please note that in this version of the data table, each product entry has to be in this order: first EN and then DE.
DProduct NameThis is the most important field in PSI Product Finder. Enter here the identifying name first. What product is it? After that, you can enter further information such as material or functions. Of course, you can also enter the special name. For example: "Ballpoint pen Alicante with twist action, made of plastic". Not just "Ballpoint Pen" or only "Alicante". Please note that this field is limited to 255 characters.
EProduct DescriptionEnter here a meaningful description of the product. What is it? What can it do? Do not just put one key word after another and use correct wording and spelling. Try to use different descriptions for each product (except when you create variants). The same content in many product descriptions may influence the ranking in a negative way.
FProduct Picture_1Enter here the exact name of the picture file including file ending (.jpg, .png) or the URL of the picture on your server.
GName of the Picture_1Repeat the product name in this field. This helps in the background with search engine optimisation and accessibility.
HDescription of the Picture_1Describe again shortly what can be seen in the picture. For example: "Ballpoint Pen Alicante, front view." This helps in the background with search engine optimisation and accessibility.

VColor GroupChoose here the suitable colour group in which the colour of your product belongs. The colour group makes sure that your product is found when the customer filters the search results in PSI Product Finder for colour.When your product is multi-coloured, please enter the suitable colour group for each colour. In the data table, you separate them with a comma (,) WITHOUT space character. If your product consists of more than two colours, please use the code for "multicoloured". Specify this in the field "colour or colour combination". If you use more than two colour codes, the Product Finder will automatically display "multicoloured". To prevent this and still show that your product is available in several colours, please create variants. You can find the codes for the colour groups in our code list.
WMaterial or Material CompositionEnter here the material of the product. You can indicate material compositions with a hyphen (-).
XMaterial GroupChoose here the suitable material group in which the material of your product belongs. The material group makes sure that your product is found when the customer filters the search results in the Product Finder for material. When your product is composed of more than one materials, please enter one suitable material group for each material. In the data table, you separate them with a comma (,) WITHOUT space character. You can find the codes for the material groups in our code list.
YProduct CertificatesYour product is certified? Very good! You can enter it here. Please consider that the indication of certificates is protected and may only be used under certain conditions. Please note that you are responsible for the correct and legally allowed use of a certificate with your product. You can enter up to 5 certificates per product. In the data table, you separate them with a comma (,) WITHOUT space character.You can find the codes for the certificates in our code list.
ZBrand NameWhen your product has a registered trade name, you can enter it here. You can enter more than one brand name per product. Please separate several brand names with a comma (,). Here you can also use space characters. Please note that this field is limited to 255 characters.
AAEAN CodeHere you can enter the Global Trade Item Number (GTIN) of your product.
ABTagsHere you can enter key words related to your product (alternative names, singular, plural etc.). Please limit it to really suitable words. For example: A tin is just a tin. You do not have to list everything that can be put into it. The number of tags is limited to 5. Please separate them with commas (,). Here you can also use space characters.
ACProduct-Specific InformationHere you can enter e.g. clothing sizes (X, M, L, etc.), memory capacities (2 GB, 4 GB, etc.), the input/output (XXX maH) etc. For the ideal presentation of your products, you should enter only one product-specific information per product. Please create a variant to show the other specifics. Please note that this field is limited to 100 characters.
ADLength of the product in mmThis field allows only whole numbers without comma or decimal point and no letters (integer). Please note that this field is limited to 45 characters.

AKMade inIf you want to emphasize that you product was made in a certain country or Europe, you can enter this here. Please consider that the declaration “Made in“ is protected and may only be used under certain conditions. Please note that you are responsible for the correct and legally allowed use of this phrase with your product.
ALLegal InformationEnter here the legally required information for this article, e.g. ingredients of edible articles or material compositions of textiles etc.
AMTarget GroupHere you can enter for whom the product is made: e.g. Ladies, Gentlemen, Unisex, Children, Babies etc. Please note that this field is limited to 100 characters.
ANGeneral information on the Finishing of this productHere you can enter information suitable for all finishing methods available for this product.
AOFinishing Method_1Here you can enter the finishing method for your product. The finishing method makes sure that your product is found when the customer filters the search results in the Product Finder for finishing method. You can find the codes for the finishing methods in our code list.
APIs this Finishing Method included?_1Just check the box in the online tool. In the data table, please use 1 for yes and 0 for no.
AQFurther Finishing Information_1Here you can enter further information on the indicated finishing, e.g. how many printing colours are possible.

What is the difference in the pricing in the Product Finder?

You can indicate two different prices.

The "Base Price for PSI Distributors" is the price at which the distributor can purchase the product from you.

"Recommended Selling Price" is your recommendation to the distributor for the price he should quote to his customer.

How many decimal points can I put in the prices?

My prices are not displayed correctly. - My prices have been rounded up.


The Product Finder can only display prices with up to two decimal points.


In the online form you cannot save the product entry if you have entered more decimal points.


The data import works with several decimal points. But in the Product Finder the prices are then displayed rounded.

How can I format my product descriptions?

For better readability there are several ways to format your product descriptions in the Product Finder.


In the online form, select the relevant part of the text and click on the desired type of highlighting:


B for bold

I for italics

U for underlined

List symbol for

  1. bullet points


Line breaks and blank lines are simply created with the Enter key.


When data is exported, this formatting is included in the export file and converted again when the data is imported again.



In the data table, insert the following HTML codes in the description:


<p> </p> for a blank line or a line break

<strong> </strong> for bold

<em> </em> for italics

<ins> </ins> for uderlined

<ul><li> </li></ul>

  1. for bullet points


The formatting codes must enclose the relevant part of the text.


Please ensure that you do not use any other form of line break in your data table.

Why can I only specify two colours?

You can only specify two colour groups for each product. This then means that the product is two-coloured.


If your product is multicoloured, please select "multicoloured".


If your product is available in more than one colour or colour combination, please create product variants (a separate one for each colour).

Why do my products say multicoloured? I had indicated several colours.

Some time ago we optimised the display of the colour variants in the Product Finder. Now you can only specify two colours for each product. This then means that your product is two-coloured.


The indication "multicoloured" was automatically used by the system for products that contain more than two colour groups.


To improve the presentation of your products - and to ensure that they can be found with the colour filters - please create product variants for each colour.

What are product variants and why should I create them?

A variant is for example the second, third, fourth … colour of the t-shirt. Or the size S, M, L, XL etc. This means product entries that differ only in one or more attributes without changing the price.


Create a variant for each attribute in order to achieve the best presentation of your products in the Product Finder. Many individual product entries with almost identical content can lead to these products being devalued in the Product Finder ranking.


At the moment, only colour groups and product specific information are shown as variants.


Variants give better order to the search results and make your product entries look more professional. The distributor does not want to see the same t-shirt 10 times in different colours. When he clicks on the product detail page, he will see the different colours and can click on them in order to see the product in the corresponding colour – if you have uploaded a picture for each colour.


In the data table (https://cdn.psiproductfinder.de/psi-download/PSI_Datatable.xlsx), please enter each product with its own product number into one row of the data table (keep in mind: one row English, one row German).


Additionally, a Master Product Number is needed for all products. If you want to create variants, the Master Product Number has to be identical for all products you wish to combine.

For products that are already online in PSI Product Finder, the Master Product Number is generated automatically. If you create new variants, please enter the master numbers in the "Master Product Number" column. Master Product Numbers are for internal use in the database to create variants. They do not appear in the Product Finder.


In the online form (https://psiproductfinder.de/backend/products), you simply click on the product you wish to create a variant of and then on “New Variant”. The Master Product Number will be generated automatically.


Please note: For variants, you need to enter the English data first as well. After saving the entry you can also enter the German data.


Note: In the current version of the online form, you must re-enter all product information when creating a variant. There is no copy function yet. We therefore recommend that you maintain the variants using the table. Here you can copy and paste more easily.

How can I show the different colours of my products in a good way?

The best way: As product variants!


Create a variant for every colour in which your product is available.

Please note: You can only enter two colours per product entry. These two colours will be shown as colour combinations in the Product Finder. If your product has more than two colours, please choose “multi-coloured”. If you enter three colours or more (as codes in the table or by clicking on them in the online form), they will be automatically merged to multi-coloured.


We recommend that you fill out the column/the field „colour or colour combination“ as well. The text you enter there appears on the product detail page when the customer puts the mouse indicator on the colour button. This way, you can - for example - specify the colour combination of more than two colours, use your own colour names or show the available colours of custom-made products.


You can also show various possibities of the same basic colour:


Example: You enter the colour ”yellow“ as code in the table or click on it in the online form. Then you enter ”sunny yellow“ in the field ”colour or colour combination“. In the next variant of the product you enter “yellow” again as basic colour an then add “luminous yellow” as free text etc.


This way, there will be a yellow colour button for each of your yellows on the product detail page. When the customer puts the mouse indicator on these buttons, he can see the different kinds of yellow you have entered. And if you did upload different pictures for each variant as well, you have done a really good job with your product variants. Because the pictures change when the customer clicks on the colour buttons.


If your product is available in various colours, please create product variants as described under the link mentioned above.


You can also create variants by other product-specific information (e.g. size, storage capacity etc.) You can see how this works in the article "I want to create product variants by size or other product-specific information".

I have entered colour variants in my table, but they are not displayed.

Have you filled in column A? The master number is necessary for the system to know which products to group together.


The simplest solution is here: Pull a data export (https://psiproductfinder.de/backend/export) and enter the same sequence of numbers for all products that are to be combined into one variant in column A. It does not matter what this sequence of numbers looks like. The main thing is that it is identical for all variants.

Import the updated data table again (https://psiproductfinder.de/backend/import).

How can I subsequently combine my product entries into variants?

You can group your products by colour or size or both.



Pull an export of your online product data: https://psiproductfinder.de/backend/export


Copy the exported file and save it as security backup.


Open the table and sort the product data in such a way that the same products (i.e. those products that differ only in colour or size) are placed one below the other. Usually this can be done quickly by sorting by the product number in column B. Please note here as before that each product number has two lines: EN and DE (column C).


Now enter the same number in column A (master number) for all identical products. You can use any combination of numbers and letters, or simply one of those currently entered by the system.


If your products differ in colour, check now in column V (colour group) that each product entry has the code for the corresponding colour. You can make the colour specification more precise with your own short text in column U ("Colour or colour combination"). This text is displayed in the Product Finder when you point the mouse at the corresponding colour circle.


You should also store a separate image for each colour, if you have not already done so.


If your products differ in size, please check in column AC (product specific information) that each product entry contains the corresponding size.

From the next day your products should be displayed as variants.


How can I undo the variant creation?

In general, you should always create product variants whenever possible. Especially if your product is available in different colours.


However, if the display of the variants is not as you imagined it, for example, because the prices of your variants change, you can undo the variant creation.


Pull an export of your online product data: https://psiproductfinder.de/backend/export


Copy the export file and save it as a backup copy.


Open the table and select the products for which you want to undo the variant creation. Now delete the contents in column A (master number) for these products. Please delete only the contents, not the column.

Please note that each product number has two lines: EN and DE (column C).

From the next day on, your products should be displayed individually, not as variants.

I want to create product variants by size or other product-specific information

Especially with products that differ in their size or in another product-specific information, it makes sense to show them as variants in the Product Finder.


Please note that at the moment this function only works if the variants all have the same prices – or if you do not wish to show the prices in the Product Finder. If the prices vary with the sizes, please enter these products individually.


Create a variant for each size (or other information) in which your product is available.

For these variants, you enter the different properties in the column (data table) or the field (online form) “Product-Specific Information”.


Please use an individual product number for each variant.

How can I trigger a data export?

If you want to make a large update of the data you have already online, you can export this data in our data table format, use this table directly for your revision and then import it again.


The advantage is that all images are already included in the table as URLs. So if you do not want to exchange the images, it is sufficient to import the table again. If you want to exchange images, you must of course enter the new image file names or URLs into the table.

How can I delete product data from the Product Finder?

Please note: The presentation of products in the Product Finder is only possible for PSI Supplier Members.


Of course, you can also completely remove products from PSI Product Finder.


You have two possibilities:


With the Data Table

The best way is to drag an export of the online data and simply delete the rows (EN and DE) of the product and/or variant numbers and re-import the data table. All data that is no longer in the table is automatically deleted and will no longer be online in the Product Finder from the next day.


With the online form

In the product overview: Click on the product or variant you wish to delete. Then click on DELETE at the bottom left.

The system asks you whether you want to delete the entire product entry, i.e. all variants, only the variant clicked on or only the translation of this variant. You click on the corresponding variant and then click on "DELETE" again.

The product or variants will no longer be found in the Product Finder from the next day.


All data

If you want to delete all your data from the Product Finder, simply import an empty data table (https://cdn.psiproductfinder.de/psi-download/PSI_Datatable.xlsx). From the next day your products are gone and you can enter them again.

Online form: How can I enter German product data?

Online form: I can only enter my data in English. - The system only allows English entries. - How can I enter my German data? - There is an error: I can only enter English. - I cannot select German.


This is not a mistake. The system is designed in such a way that the data for the English Product Finder is always queried first and only then the data for the German version.


Please fill out the form for the English product data entry first. After saving, you can change the language from EN to DE (German) in the upper right corner.


In the mask for the German product data entry, you only have to fill in the fields in which you have entered text. All numbers, pictures and answers from the selection menus are automatically transferred.

How can I add the second language to the data table?

The data table always requires two rows per product. One row for the English product entry and one for the German one.


An import with only the DE rows will not work. The system will report an error in the table.


Importing only with the EN rows means that your products will only appear in the English Product Finder.


Below we describe how you can add a second language quickly and easily.


If you currently only have English data in the Product Finder

  1. Pull an export of your online product data: https://psiproductfinder.de/backend/export
  2. Copy the export file and save it as a backup copy.
  3. Open the table, highlight and copy all rows with product data (from row 4 to the end and please highlight the complete rows).
  4. Insert this product data under the last EN product entry. For clarity, it is easier to leave a blank line. This will disappear automatically when you sort the data later.
  5. Change the language code in column C of the inserted rows from EN to DE. Enter the German translations in the free text fields (especially in product name, description and tags).
  6. Highlight all rows with product data (i.e. from row 4 to the end of the newly inserted product entries) and use the Excel sorting function. You must have the sorting done on two levels. First according to the product number in column B and then according to the language in column C. Here you have to select that the information should be sorted in descending order, i.e. from Z to A.


If you have done everything correctly, you should now have a table in which two rows below each other always contain the same information in column B, with "EN" in column C of the top line and "DE" in the bottom line.

From the next day your products should be displayed in both language versions of the Product Finder.


You can also use this procedure if, for example, you export the product data from your product database and insert it into our table.

I only get the data from my system separately in German and English. How can I connect the entries in the table?

Please make sure that you insert your product data exactly in our table format (https://cdn.psiproductfinder.de/psi-download/PSI_Datatable.xlsx). The column structure must be retained, as must the first three rows of the table. The product data may therefore only start from row 4.


Insert the English and German product data one below the other in the table.


Then use the Excel sorting function. You must have the sorting carried out on two levels. First according to the product number in column B and then according to the language in column C. Here you must choose that the information should be sorted in descending order, i.e. from Z to A.


If you have done everything correctly, you should now have a table in which two lines below each other always contain the same information in column B, with "EN" in column C of the top line and "DE" in the bottom line.

From the next day your products should be displayed in the Product Finder.

What are product lists and what can I do with them?

The product lists are extended watch lists that you can use to create your own advertising pages (landing pages) that you can send to your customers as links.


You can create as many as you like in the backend.


For you as a Supplier Member, this function is interesting, for example, to send information about your product innovations to your distributors.


You can also create product lists that are displayed in your Supplier Finder profile.


To create a product list, click on "Account" in the top right-hand corner of the Product Finder and then on "Product list".

This will take you to the backend for the product lists. Then click on "New product list" and select whether you want to create a German-language or English-language product list. Accordingly, the product entries are displayed on the advertising page.


Upload a beautiful image as a key visual and fill in the fields for the internal designation, headline, etc.

You can also enter an individual introductory text for your customers.


If you would like to display this product list in your Supplier Finder profile, please tick the box "Show on detail page?”.


After saving, you can fill the product list. To do this, click on "Add product" to access the Product Finder and search for products for your product list here.

Once you have found one, either click directly on "Add to product list" in the overview or look at the details first and then click on it in the product details page.

You could also spontaneously create new product lists here.


When you have all the products you want on the product list, go back to the backend and click on "To landing page" at the top right. Your own advertising page will open. If you have previously uploaded your company logo under MyPSI, it will be displayed on the landing page, as will your key visual, headline and introductory text. - And of course the products!


You can now send the link to your advertising page to your customers. And your customer can send quotation requests directly to you from the page.

What is the Message System?

The Message System is an extension in PSI Product Finder for easy management of quotation and product enquiries.


If a distributor finds an interesting product in the Product Finder, he can - as before - request an offer from the corresponding supplier directly from the Finder. The supplier is notified by e-mail about the receipt of the request, can view it directly in the backend and answer it.


All communication between distributor and supplier can therefore take place directly in the Product Finder. If both parties are online at the same time, even as a chat in real time.


Of course, images and PDF files can also be sent via the Message System.


In this way, the distributor keeps track of the requests for quotations and products he has made. And the supplier can see directly who has requested which product from him.


Various marking options and a filter function provide even more clarity.


The Message System can be processed by several people in a company at the same time, it is currently not bound to individual access data.

How can I specify additional addressees in the Message System?

The Message Center allows PSI Members to communicate via chat. For example, Distributor Members can send quotation requests, which the Supplier Members can answer directly in the system and including attachments.


When a message is sent, the recipient company receives an e-mail with the relevant information and the link to Message Center.


There is a possibility to add additional recipients for these information mails.


The only requirement is that the recipient has access data to the Product Finder (these can be created in the MyPSI area on www.psi-network.de).


Global recipient list in own account, for incoming messages

  1. In the message overview, at the top, to the left of the "New Message" button, there is a small button with a settings icon.
  2. Click this button and then click "Recipient list".
  3. A window opens in which you can specify additional recipient addresses or delete addresses already entered.
  4. The notification e-mails will now be sent to the added recipients and also still to the previously stored general company address.
  5. The global recipient list applies to quotation requests and also to other messages sent via the system.

  1. When starting or in the course of a conversation in the message center, additional recipients for the notification e-mails can be added exclusively to this conversation.
  2. Start a conversation: Click on "New message" in the upper right corner of the message overview. A window will open where you can enter the recipient company and your message. Below the text field you will find the "Add recipient" button. A field will appear where you can enter the desired e-mail address.
  3. During an existing conversation: Within the conversation you will find a small button with a person icon at the top right, next to the "Show contact" button. If you click on it, a window will open where you can enter additional recipient addresses or delete addresses you have already entered.

My images were not transferred during the data import

There are several reasons why the import of the images did not work. Please check the following points:


1. The zip was too big - it must not exceed 500 MB.

2. The image files were too large. Even if the zip is smaller than 500 MB, too large image files can cause difficulties. We recommend 1400 x 1400 pixels, 72 dpi.

3. The image files are in the wrong format. They must be .jpg or .png files, in RGB colour mode.

4. The image file names do not match those in the table. They must be identical, including the file extension (.jpg or .png).

5. The image file names are in the wrong column. Please use the columns ProductImage_1, ProductImage_2 etc., not for example ImageName_1 etc.

6. The images are in one or more subfolders. In this case, the name of the subfolder must precede the respective image file name, separated with a /. It is easier and safer if the pictures and the table are on one level in the zip.


If none of the points apply, please send us the table and one or two of your image files by e-mail to importe-productfinder@reedexpo.de so that we can take a closer look.

My pictures are not displayed on the online form

Please check the following points:


1. The image files are too large. Image files that are too large can also cause difficulties when importing individually. We recommend 1400 x 1400 pixels, 72 dpi.

2. The image files are in the wrong format. They must be .jpg or .png files, in RGB colour mode.

3. Some of the pictures are only displayed after saving. So please try again: Upload the image and then click on Save. If necessary, reload the website.

4. Perhaps the motif is too narrow? For example, if knives or ballpoint pens are shown upright and there is no frame around them, you may get a message when uploading that the image has the wrong dimensions. In this case it helps if you put a white frame around the picture on the left and right.


If none of the points apply, please send us one or two of your image files by e-mail to importe-productfinder@reedexpo.de so that we can take a closer look.

My image files are small, my zip is still too big

If you want to import a large number of products and images, your zip archive may be larger than 500 MB. In this case, please first check whether you can reduce the size of your image files.

For the Product Finder, a size of 1400 x 1400 pixels at a resolution of 72 dpi is sufficient.


If your image files are already "small", you can use the following workaround. Unfortunately, this is a little more time-consuming, but it is currently the only non-technical option:



  1. Make a copy of your original data table and import this copy zipped with some of the image files.
  2. Here you have to try out for yourself how many images you can import at once without exceeding the maximum zip size of 500 MB.
  3. When this was successful, request a data export in the Excel file format: https://psiproductfinder.de/backend/export
  4. In the exported table, there are now web links for the images that you have already imported. For the products for which no image file was available, there is a link to an error image.
  5. Replace these links step by step with the image file names.
  6. To do this, copy the next image file names from your original table and paste them into the copied file instead of the error image links.
  7. Save this table.
  8. Zip the newly saved table together with the image files whose names you have entered in the table and import this zip.
  9. After the successful import, request an export as Excel again.
  10. Repeat the process as often as necessary.



Alternatives to this workaround:


If you have saved the product images on a freely accessible server, you can also enter the links to these files in the table instead of the image file names. It is important that the server is not password protected. Links to WeTransfer, Dropbox etc. unfortunately do not work here.


You can also use our API interface (https://api-cf.psiproductfinder.de/v1/docs). However, this requires programming knowledge on your part.

The pictures have not been transferred to the Product Finder.

Did you enter the picture file names into the columns Product Picture_1, Product Picture_2 etc.?

Have you imported the pictures together with the table in a zip archive?


If so, please check the following options:

  1. Were the pictures in a subfolder? If so, you would have to specify this in the columns with the file names or remove the pictures from the subfolder so that they and the table are on the same level.


  1. Are the pictures jpg or png files?


  1. Are the pictures in RGB colour mode?


  1. Have you included the file extension in the data table with the picture file names, i.e. .jpg or .png?


  1. How large are the image files? Images that are too large cannot be imported. A resolution of 72 dpi at 1400 x 1400 pixels is sufficient.


If you have checked/corrected all this and the images are still not displayed, please contact us: importe-productfinder@reedexpo.de. It is best to send two or three image files already so that we can take a closer look at them.

I have exchanged an image, but it is not updated in the Product Finder.

Does the new picture have a different file name or the same as the old one?

If it is the same, please change it and reload the picture (zipped with the table or in the online form).

If the picture file names are identical, the system will not recognize that it is a new image.

Why can't I see my just entered or uploaded product in the Product Finder?

Newly entered/imported products, changes and deletions are always imported into the online database overnight.

Therefore, any changes you have made (new, modified or deleted products) will only be seen from the next day.

However, if you have made changes to the information displayed on the datail page (e.g. description, colour, size, prices etc.), they will be shown immediately.


If your new product or changes should not be online tomorrow, please contact us at importe-productfinder@reedexpo.de.

My data import has been running for a long time and nothing happens.

If the data import takes an unusually long time, your zip archive may be too large. Please note that the Zip must not be larger than 500 MB.

To reduce the size of the Zip, check the image files. They do not have to be of print quality. It is sufficient if they have 1400x1400 pixels and 72 dpi.


If you have reduced the size of the images and the zip is still too large or the data import does not work despite the smaller zip, please use the workaround described in the article "My image files are small, my zip is still too big".

I imported our data yesterday and did not receive an error message but our products are not online today.

If your products are not in the English Product Finder: Is it possible that you have not made any EN product entries in the table?

The system needs these to be able to create a product entry at all.


If your products are not in the German Product Finder: If you wish your products to be in the German Product Finder as well, you need to enter the German product data into the table.

Have you specified product groups in your product data entries? If so, please check that you have selected the appropriate ones.


If you have not indicated any product groups, please complete them. You can do this using the online form (https://psiproductfinder.de/backend/products) or the table.


The best way to do this is to use a data export (https://psiproductfinder.de/backend/export), complete the product groups using our code list (https://cdn.psiproductfinder.de/psi-download/PSI_Codes.xlsx) and import the table again (https://psiproductfinder.de/backend/import).

Why is my product not online the next day?

One reason why products do not go online is that the character limits have been exceeded in one or more fields.

This is most often the case with the field "Product-Specific Information". This field is limited to 100 characters. Please check your product entry and adapt it if necessary.
